Terms & Conditions
What you're agreeing to when you book a tour with us — payments, deposits, cancellations, and refunds.
Last updated: March 2026 · Freedom Moto Adventures Ltd · England & Wales
The Agreement
A binding contract between you and Freedom Moto Adventures Ltd comes into existence when we confirm your booking in writing and receive your deposit. Your booking confirmation will be sent by email and constitutes your receipt.
These terms apply to all tours operated by Freedom Moto Adventures Ltd. They cover the booking process only. Separate terms governing conduct, safety, liability, and on-tour requirements will be provided in a Participant Agreement, which every rider is required to sign before joining the tour.
Payment
We accept payment by bank transfer or by credit card via Stripe.
Deposit
A deposit of £1,000 per person is required at the time of booking to secure your place. If you are renting a bike from us, the full rental fee is also payable at the time of booking.
Balance payment
The remaining balance is due 60 days before the tour departure date. We will send you a reminder in advance. If payment is not received by this date, we reserve the right to treat the booking as cancelled and apply the cancellation terms in Section 3.
Cancellation by You
We understand that circumstances change — visa problems, injury, bike failure, personal emergencies. If you need to cancel, please notify us in writing as soon as possible. The refund you are entitled to depends on how far in advance of the departure date you cancel.
Standard booking (no rental bike)
| Notice given before departure | Refund |
|---|---|
| More than 120 days | Full refund minus a £500 cancellation fee |
| 60–120 days | 50% refund, with a minimum retention of £1,000 |
| Less than 60 days | No refund, but we will offer a place on the same tour the following year (price changes may apply) |
Bookings including a rental bike
| Notice given before departure | Refund |
|---|---|
| More than 120 days | Full refund minus a £1,500 cancellation fee |
| 60–120 days | 50% refund, with a minimum retention of £2,500 |
| Less than 60 days | No refund, but we will offer a place on the same tour the following year (price changes may apply) |
In all cases, we are not responsible for costs you have incurred independently, including flights, hotels, or equipment purchased for the trip.
Cancellation by Us
We reserve the right to cancel a tour in circumstances beyond our reasonable control, including but not limited to pandemic, extreme weather, volcanic activity, civil unrest, or government travel restrictions. We will inform you as early as possible if a cancellation becomes likely.
If we cancel a tour, we will offer you either a place on the same tour at the next available departure at the same price, or a full refund of all payments made to us within 30 days of the cancellation date.
Itinerary Changes
Iceland's terrain and weather are unpredictable, and no two tours run identically. We reserve the right to modify the route, accommodation, or schedule before or during a tour where circumstances require it — including weather, road conditions, natural events, or accommodation availability.
Where a change before departure materially affects the nature of the tour, we will notify you promptly and offer you the option to cancel with a full refund. Minor adjustments to routing or timing do not constitute a material change.
Changes made during the tour in response to conditions on the ground do not entitle you to a refund. Our guides' decisions in the field are final and are made with the safety and wellbeing of the group in mind.
Additional Fees
The tour price does not include all costs you may incur. The following are your responsibility and are not covered by your booking: flights, fuel for your motorcycle, meals not specified as included, alcoholic drinks, optional activities (such as whale watching, horse riding, or geothermal baths), site parking fees (typically around 700 ISK per stop), and personal spending.
If you are shipping your own motorcycle, additional charges may be incurred at the port — including warehouse storage fees if your bike is held beyond the standard collection window, and any applicable customs or import charges. These charges are outside our control and will be passed on to you directly by the shipping or port operator.
Insurance
Appropriate insurance is a condition of booking. You must arrange the following before your tour departs:
Motorcycle insurance
Your motorcycle must be insured for the full duration of the tour, including any transit period if you are shipping your bike. Your policy must be valid in Iceland.
Travel and medical insurance
You must hold a policy covering medical treatment in Iceland, emergency evacuation, and repatriation to your home country. Your policy must explicitly cover F-road and off-tarmac riding — not all standard travel policies include this. We will ask you to confirm your cover before the tour departs.
Cancellation insurance
We strongly recommend a policy that includes cancellation cover. If you need to cancel for any personal reason — illness, injury, visa refusal, bike failure — the tiers in Section 3 apply and we are unable to make exceptions. Cancellation insurance exists precisely for these situations and may allow you to recover costs we cannot refund.
Travel Documents
You are solely responsible for ensuring your travel documents are in order before departure. This includes a valid passport meeting Iceland's entry requirements, any visa or entry permit required for your nationality, a valid category A motorcycle licence recognised in Iceland, and your insurance documentation as set out in Section 7.
We are not responsible for any costs or losses arising from your failure to hold the correct documentation. If you are unable to travel because of a documentation issue — including a visa refusal — the cancellation terms in Section 3 apply.
Participant Agreement
These booking terms do not cover all aspects of participating in a tour. Before joining us in Iceland, every participant will be required to read and sign a separate Participant Agreement.
The Participant Agreement covers operational and safety matters in full, including rider requirements, conduct on the road, group protocols, water crossing procedures, liability, and emergency procedures. It will be sent to you ahead of the tour and must be returned signed — via Adobe Sign — before your place can be confirmed as active.
Failure to return a signed Participant Agreement before the tour departure date may result in you being unable to join the tour. In that event, the cancellation terms in Section 3 apply.
Your Data
When you book a tour, we collect personal information necessary to process your booking and organise the tour. This includes your name, contact details, emergency contact information, and payment details. We do not sell or share your personal data with third parties for marketing purposes.
We may share your data with third parties where it is necessary to deliver your tour — for example, accommodation providers, motorcycle shipping companies, or emergency services. Any third parties we work with are required to handle your data in accordance with applicable data protection law.
We process your data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. You have the right to access, correct, or request deletion of your personal data at any time by contacting us at hello@freedommotoradventures.com.
